Pulling Evaluation Reports for Virtual Sessions

Evaluation (feedback) reports are pulled the morning after a virtual session. Pull evaluation reports from this Influence Ecology Website for FOT, PIP, MAP, MAP2, MEM, and each of the Focus Lectures or other special webinars on the morning after the  virtual session. After each virtual session participants are invited to provide feedback regarding the session via a form displayed in the Virbela Campus chat. This is the form you will be downloading in Excel and formatting to send to the Program Leaders.

Downloading the Excel report

Log onto the Influence Ecology site with your admin credentials:

  1. After logging on, scroll to the footer of the page under Faculty and  select “Study Paper Reports”
  2. On the lower right in the Form Completion Reports box, enter into the search forms bar, “Campus Event Feedback”
  3. Select the start and end dates for the Virtual Session which are Start: the exact day of the session. End: TWO days after the event. (Sometimes customers enter their feedback a day after the even has ended and we do not want to miss valuable feedback.)
  4. Click Generate CSV

Preparing the Excel report

Formatting the worksheet

  1. Open the Excel file. The downloaded file shows all participants who submitted feedback about the session.
  2. Save file in Dropbox location: Influence Ecology > Evaluations and Feedback > [Folder] (see Saving the File, below, for instructions per program).
  3. Insert two Rows above Row 3.
  4. In Row 2, enter the program name and nuber followed by the session:
    FOT 75 Session 01″
  5. In Row 3, enter the date of the session.
  6. For Rows 1-3, make bold and increase font size to 14.
  7. Alphabetize by First Name. Use the Sort/Filter command to do this.
  8. Select and hide columns A and B (Duplicate First/Last Names).
  9. Make columns F through J (Comprehension, Relevance and Presenter ratings) a width of 4.5 by right clicking your mouse and scroll down to column width.
  10. Make the width of the K-M columns 25. Do this by highlighting these columns and then right click, scroll down to column width. Enter size 25.
  11. Activate Wrap Text for columns K through M. These are text answers.
  12. Activate Wrap Text for Row 5 Headers.
  13. Top align and left align the entire worksheet. Do this by highlighting the entire sheet and in the toolbar section Alignment select top and left alignment.
  14. Freeze Pane below the header so leaders can scroll through evaluation answers easily. Select cell A6 , then in the toolbar go to the tab View. In the section Window select down arrow Freeze Panes. Select first option to freeze Top and Left cells.
  15. Display Sum and Averages,
    • Select the first empty cell below the numbers. Enter the formula to display the total sum of the column. The formula for this is as follows: =sum(E6:E##)
    • Select the empty cell below the total of the column. Enter the formula to display the average of the column. The formula for this is as follows: =average(E6:E##). Click the Increase Decimal command once to set average to one decimal point. (ex: 4.1, 4.2, etc.)
  16. Highlight the averages in blue. Make bold.
  17. Enter the Averages to the top of the report by formula.
    • On row 4, column G, type AVERAGES.
    • Type the averages into columns 4E, 4F, and 4G using the formula: =e[row number] where each column will be its own letter (ex. =e42, =f42, =g42)
    • Highlight row 4, columns B, E, F and G in blue and change to Arial 14 bold text.
  18. Briefly read through the answers. Highlight in yellow if:
    • Evaluation score is 2 or less
  19. Select Row 5 (the headers) and decrease row height to show 2 lines of text.
  20. Select remainder of rows with comments and select Wrap Text in toolbar to view complete comments.
  21. Leave the cursor on E6 before saving.

Saving the File

  1. FOT or PIP files. Save the FOT or PIP Excel file as an Excel Workbook to Dropbox under Influence Ecology / Evaluations and Feedback / [Year] in the format FOT ##-# ER date, or PIP ##-# ER date, where date is the date of the virtual session), for example: FOT 26-2 ER 5-7-13
  2. Save the MAP file in the format MAP OCT 10-17-19 where 10-17-19 is the date of the session. Save under Influence Ecology / Evaluations and Feedback/ MAP Evaluations / [Year] folder.
  3. Save the MEM file in the format MEM Month ER Date MEM Oct ER 10-27-16 under the Influence Ecology / Evaluations and Feedback / MEM Evaluations.
  4. Write down on a piece of scratch paper the averages to use for the email to Program Leaders.
  5. Save the MAP2 file in the format MAP2 PSTI Date (the date is the date of the session). Save under Influence Ecology Evaluations and Feedback / MAP2 Evaluations Reports folder.

For FOT & PIP Programs Only
Record averages in Google Doc –FOT Program Management

  1. Open this document in your google drive. The title of the document is Program Management Tab.
  2. Click on tab for  appropriate program (ex: FOT33 JUN 2014).
  3. Under the virtual session column (VS), insert the averages for the session for Comprehension, Relevance, Leader. 

Sending the File

Send an email to the program faculty formatted as shown below:

Subject: FOT# Session # Feedback / MAP 5-23-13 Feedback / MEM Month 5-23-12 Feedback, etc.

The evaluations have been pulled and filed in the DB, file name:  FOT 26-2 ER 5-7-13.xls.

The Excel file is also attached for your convenience.
