Procedure: Preparing Virtual Session Slides

Managing FOT and PIP Course Content: Step 4 and 5 of 5.

Managing course content for FOT and PIP is a 5-step process done for each study paper and corresponding virtual session during the life of an FOT or PIP program.

The Five Steps of Managing Course Content for FOT:*

1. Pull study papers and prepare Excel reports (MONDAY).
2. Record receipt of the papers in the Program Management document (MONDAY).
3. Grab the program measures for the PM tab of the Program Management document and the PowerPoint presentations (MONDAY).
4. Update the PowerPoint presentations w/ correct Heads&Tails slides (THURSDAY).
5. Send the Excel reports, virtual session feedback reports, and snapshots (the program measures/study paper progress in the email body) to the program leaders (THURSDAY).

*PIP: The same procedure is to be used for PIP with the exclusion of Step 3. The program leader pulls the PIP program measures.

Program virtual session slides are updated on Thursday for the FOT and PIP sessions scheduled in the coming week. This document covers FOT and PIP slide preparation only. See the manual for the procedure to update slides for advanced programs: MEM, MAP, MAP2.

FOT and PIP Slide Preparation

Checking over the slides

  1. In Dropbox, navigate to IE-Program Delivery-FOT/Fundamentals of Transaction/Virtual Sessions/Session # folder and open that set of slides deck.
  2. Open the Heads and Tails slides: IE-Program Delivery/Heads and Tails/Heads and Tails.pptx. You will be comparing and updating all slides in the presentation that come from Heads and Tails.
    a. Remember to look closely at dates on the Heads & Tails slide for the next virtual session for MEM/MAP/MAP2 as those items will be updated.
    c. Look at the main slides and double check / H&T who is teaching.
    d. Copy any slides needed from H&T using the command: keep source formatting.
  3. Look at the main slides.
    Look at the copyright information, the format, the footers, and for any needed edits. 2018: YOU WILL NEED TO EDIT ALL FOOTERS AS WE REPLACED THE FOOTER IN JANUARY 2018. To do this, DUPLICATE a slide that you copied from the Heads and Tails as it will have the new footer. MOVE the slide to the location you need it. DELETE the information from the slide. COPY the information from the slide with the old footer and PASTE it into the slide with the new footer. Delete the old slide. If you have a slide with a lot of text boxes or objects, use Select All/Arrange/Group to group them all together into one object to copy and paste. (You can also copy the empty slide from the H&T.) ***Be mindful of slides with a Fade Transition (* symbol below slide number) or hidden slides (\ through the slide number) and keep the original formatting of the slide you are replacing. Go into View Slide Master and remove any 2017 Master slides.
  4. Grab the Program Measures from the FOT # PM tab in Programs Management. (See Pulling Study Paper Submissions and Capturing FOT Program Measures for further information about how these numbers are collected.)
  5. Place the Program Measures on the Satisfaction Metrics slide.
    Make sure the Averages column says “2012-2017 Averages”.
  6. Do a Spell Check.
  7. View the slides in Presentation Mode. Check the content / content placement / footers. ALL footers should show the copyright date as 2018.
  8. Go to Slide Master and remove any slides with the 2017 footer.
  9. Save the PowerPoint presentation with the same name it already has. Leave it to open on the first slide of the deck.

Sending the Information to Program Leaders

Send the PowerPoint and Excel file to the FOT Program Leaders and include a snapshot of the measures in the body of the email as shown below:
